Your future role:
As our Management Assistant you will be responsible for coordinating virtual and in-person meetings and ensuring that executives are well-prepared with all necessary materials. You will handle confidential communications, draft and edit reports, and assist with the preparation of presentations and data-driven documents. Your tasks will also involve tracking project deadlines, liaising with internal teams to ensure timely completion, and supporting budget management through expense tracking and reporting.
Your key responsibilities include:
- Supporting management in day-to-day operations
- Coordination and organization of appointments, meetings and business trips
- Preparation, creation and follow-up of presentations, reports and minutes
- Communication and correspondence with internal and external partners in German and English
- Conducting research and preparing decision-making documents
- Supporting the planning and implementation of projects and events
- Billing of projects
- Maintaining and managing confidential documents and data
- Supporting HR activities such as personnel administration, applicant management and on-/offboarding processes
- Supporting accounting, including invoicing, account reconciliation and monitoring incoming and outgoing payments
- Managing ordering, including ordering office supplies, laboratory equipment and other required resources
Your ideal qualifications:
- Successfully completed commercial training or a comparable qualification, ideally with additional qualifications in the field of assistance or office management
- (Several years of) professional experience in a comparable position, preferably in a company in the field of biotechnology/focus on diagnostics or a related industry
- Experience in accounting for publicly funded projects is an advantage
- Excellent organizational skills and a structured, independent way of working
- High communication and teamwork skills as well as discretion and loyalty
- Very good written and spoken German and English skills
- Confident use of MS Office (DATEV, Word, Excel, PowerPoint, Outlook) and modern communication tools
